This is an all in one system, which means everything you need will be contained within one notebook. The next thing to do is prioritize and make current action to the larger task that needs more than 2 minutes to finish. Finally, it would be best if you created your folders to organize tasks in groups easily. You don’t have to use multipurpose apps like Evernote or OneNote for GTD if you don’t want to. Even simple to-do apps, like GQueues, Doit.im, and even Apple’s own Reminders app that fit the mold well. In fact, any to-do app or note-taking tool that also lets you organize, prioritize, and review the things you have to do will work nicely.

Considering this, it’s impossible to summarize every useful idea from the book. Instead, we’ve chosen to focus on concepts that are either unconventional or fundamental to the GTD® methodology. It doesn’t help that formal education rarely teaches us how to plan and organize our work. I don’t see the gtd system vision section as just another list of things I want to do in the future. Rather than make another list, I recommend you write this out as a paragraph or two about what you imagine your life to be like in the future. Your project plans will help you to continue making progress on your projects.

And since you won’t have to constantly recall important tasks, your mind will be less fixated on planned tasks at inconvenient times of the day. In other words, you’ll lose less sleep worrying about what you need to get done. Thanks to a written organizational system, you can rest assured that you’ll get everything done on time and won’t forget anything. Your mind can truly relax when it’s time to rest and can focus better on the tasks at hand because nothing else will be running through the back of your mind. Though the basis of GTD are these five simple steps, they’re not always easy to execute. Rather the key to any lasting productivity system is to keep it as simple as possible and to use it as often as possible.

Keep @waiting_for tasks organized inside the projects their related to, or inside the One-Off Tasks project if they’re unrelated to other tasks. Add as much information as you can to save you time puzzling over it later. In Todoist, your inbox will act as the default place to hold all your inputs until you have a chance to organize them. To add a new task to your Inbox in the web or desktop apps, click the plus sign in the right corner or simply press “q.” The task will be added to the Inbox by default unless you otherwise specify a project.

There are a lot of productivity bloggers out there, most of whom have detailed their GTD methods and why you should consider using them. While you’re getting started, I would caution you to avoid these posts. Pick your system and use it for six months regularly; once you have that baseline, you will be able to accurately judge whether someone else’s GTD workflow works for you. Otherwise you’ll find yourself switching your system every few weeks and therein lies the road to falling off the GTD wagon. To combat this, pick a system and resolve not to look into others for a length of time.

So what to do is make a frequent review of the diagram every week to make sure everything is clear and under your control. Fittingly, we can derive a clear vision of a more productive future by returning to Merlin Mann. In the final years of 43 Folders, Mann began dabbling in podcasting. After shuttering his Web site, he turned his attention more fully toward this emerging medium. One show, “Roderick on the Line,” consists of “unfiltered” conversations with Mann’s friend John Roderick, the lead singer of the band the Long Winters. Another show, “Back to Work,” tackles productivity, mixing some early 43 Folders-style exploration of digital tools with late 43 Folders-style digressions on the purpose of productivity.
